HR Administrator FTC (6-months)

We have an exciting opportunity for a HR Administrator to join us on a 6-months fixed term contract, who will be based at Dartmouth House, the corporate offices.

You will be working very closely with the HR Team to deliver an efficient, proactive and value-added HR service, across the organisation. The post-holder must understand and implement the mission, vision and values of the organisation.

Main Duties & Responsibilities

  • Preparing and handling all recruitment administration: preparing documentation, placing advertisements, organising interviews and processing clearances for successful candidates
  • Liaising with recruitment agencies, managers and candidates
  • Accurately managing HR administration from new starters, mid employment and leavers.
  • Recording and updating employee details on the HR system for new starters, mid employment and leavers.
  • Checking all PINS, DBS’s and work permits have not expired. Recording employee details on excel.
  • Preparing and auding staff files.
  • Scanning, filing and collating any other employee information for employee files, in the timeframes required and to the standards specified
  • Assist the HR team in preparing letters, contracts and taking minutes at meetings.
  • Providing consistent first line advice and guidance to managers and acting as the first point of contact for routine HR queries
  • Supporting managers with HR casework, advising on disciplinary cases, grievances, performance management and sickness absence. Supporting managers at the relevant meetings
  • Standardising and formatting all HR policies
  • Undertaking as hoc HR project work
  • Representing the Head of HR and the organisation by attending appropriate meetings
  • Ensuring confidentiality is maintained at all times in accordance with the data protection act, organisational policy and good practice.

Educational:

  • Keeping abreast of employment law
  • Working towards CIPD

Organisational:

  • Uphold the vision and values of Options for Care, in all actions, interactions with staff, service users and visitors to the unit and the corporate offices.
  • To work with colleagues in a professional manner and to contribute to the effective running of HR, the Corporate team and the Clinical team.
  • Reacting rapidly to changes with the workload, re-prioritising tasks and exercising judgement to balance competing interest with tight timetables.

Communication:

  • Provide support in maintaining internal and external communications.

Additional Responsibilities:

  • Any other duties that are commensurate with the position

You will possess relevant admin experience, with an understanding of diary management, employee onboarding and lifecycle experience. You will have good IT skills, in particular Microsoft Office (Word, Excel, Outlook, Power Point) and be confident, tactful and approachable.
